Who You Are:

Extensis is seeking a Director of Enterprise Portfolio to own how our most important initiatives are chosen, funded, delivered, and adopted, and to personally lead some of the most critical ones. Reporting to the CIO, you will be a close partner in setting priorities and a trusted point of contact for executives and department leaders across the company.

This is a hands-on leadership role. Roughly half your time will be spent running high-impact projects and programs directly, and the other half on portfolio strategy, governance, and raising delivery maturity across the company.

You will set the standard by doing the work. Your credibility with executives and project teams will come from delivering, and your portfolio view will be informed by what is actually happening on the ground. Automation and AI are taking over much of the traditional reporting layer, so your time goes to judgment, alignment, and results.

~50% Hands-on project and program leadership

  • Directly lead 1-3 of the company’s highest-priority or highest-risk initiatives at a time, from scoping through delivery and adoption
  • Own plans, budgets, stakeholder alignment, risk management, and outcomes for those initiatives
  • Typical work includes cross-functional technology, operations, and client-impacting programs, including AI and automation initiatives

~50% Portfolio leadership and governance

  • Run a single intake and prioritization process, balancing demand against capacity, funding, and risk
  • Maintain an enterprise roadmap tied to company goals, and recommend where to retire, pause, or re-scope work
  • Design tiered governance that scales rigor to size and risk, so small work moves fast and major investments get real scrutiny
  • Report on portfolio health to leadership, including value delivered, forecast accuracy, and time to decision
  • Coach and support project leads across the business, and raise delivery maturity over time
  • Manage a small team and modernize PMO tooling, using automation, live dashboards, and AI-assisted workflows to keep reporting overhead low

What You'll Do:

Deliver

  • Personally drive priority initiatives to measurable outcomes, not just on-time completion
  • Build change management and enablement into every project you lead so solutions are adopted
  • Model the delivery practices you want the rest of the organization to follow

Prioritize and govern

  • Give executives clear options and tradeoffs when demand exceeds capacity
  • Partner with [your title] to bring prioritization recommendations to the executive team and secure decisions on funding, capacity, and sequencing
  • Escalate cross-functional conflicts and resourcing tradeoffs with clear options, and drive them to resolution
  • Support agile, waterfall, and hybrid teams rather than imposing one method
  • Own risk, dependency, and escalation management across the portfolio

Partner on technology and AI governance

    • Serve as a core participant in technology and AI governance, including intake, vendor evaluation, integration considerations, and risk review of automation and AI requests
    • Work with Legal, Compliance, Security, and IT so data privacy and regulatory requirements are addressed early, not after launch

AI Utilization and Literacy:

A key function of this role includes the effective use and understanding of artificial intelligence (AI) tools and technologies to enhance productivity, decision-making, and overall performance. This position is expected to maintain awareness of emerging AI applications relevant to their responsibilities, apply AI tools ethically and effectively, and continuously develop their AI proficiency.

What You Bring:

Required

  • 10+ years in program, project, or transformation leadership, with recent and ongoing hands-on delivery experience (this role is not purely managerial)
  • Track record of leading complex, cross-functional initiatives to measurable outcomes
  • Experience influencing executives and peers without direct authority
  • Ability to manage up effectively, with comfort making recommendations, pushing back respectfully, and escalating early
  • Strong financial acumen, including budgeting, capacity planning, and business case review
  • Fluency in agile, waterfall, and hybrid delivery
  • Comfort with data and tooling, including portfolio management platforms, dashboards, and automation
  • Excellent executive communication and facilitation skills
  • Ability to switch between detailed project execution and enterprise-level thinking

Preferred

    • Experience in a PEO, HR services, payroll, benefits, or other regulated, multi-state service environment
    • Experience with AI or automation governance, vendor evaluation, or enterprise integration programs
    • Prior experience building or modernizing a PMO or portfolio function
    • Change management experience, with a formal credential or demonstrated practice
    • PMP, PgMP, SAFe, or similar certification (helpful, not required)

How Success Is Measured

  • Initiatives you lead deliver on scope, schedule, and budget and show measurable business outcomes
  • Leadership has a single, trusted view of portfolio priorities, capacity, and tradeoffs
  • Executive leadership uses the portfolio view and recommendations to make prioritization decisions
  • Reporting overhead goes down while decision quality goes up
  • AI and technology requests move through a clear, fast, well-governed intake path
  • Adoption of delivered solutions meets or exceeds targets
  • Project leads across the company are more capable and consistent in how they deliver
  • The director and CIO operate as a trusted partnership, with clear ownership of what the director decides and what gets escalated
