Who You Are:

The Vice President (VP) of Implementation and Payroll Services is a strategic and operational leader responsible for driving excellence across two core departments within our PEO: Implementation Services and Payroll Services. This role ensures high-quality onboarding experiences, seamless payroll operations, client-centric service delivery, and best-in-class documentation and reporting.

 

The VP will work cross-functionally with Sales leadership to ensure effective handoffs, manage expectations, and align service delivery with client commitments made during the sales process.  This position oversees a multi-layered team structure—including Implementation, Client Solutions, Payroll, and Sales Operations—the VP will foster cross-functional alignment, scalable processes, and an unwavering commitment to client satisfaction.

What You'll Do:

Strategic Leadership

  • Define and execute the strategic roadmap for both Implementation and Payroll Services aligned with organizational goals.
  • Champion initiatives that drive operational efficiency, client retention, and scalable growth.
  • Partner with executive leadership to align department goals with company-wide objectives.
  • Act as a thought partner to executive leadership on scalability, automation, and client lifecycle strategy.

Implementation Excellence

  • Oversee all client onboarding activities ensuring smooth, accurate, and timely implementation of PEO services.
  • Drive standardization, automation, and continual improvement in the implementation lifecycle.
  • Develop implementation frameworks that support both high-volume and complex client scenarios.
  • Work with the Manager/Team Lead of Implementation to maintain and evolve best practices and KPIs.
  • Continuously refine onboarding methodologies to improve client experience and reduce time to value.

Payroll Services Oversight

  • Ensure accurate and compliant payroll processing across multiple industries and jurisdictions, and across all payroll-related processes.
  • Partner with the Sr. Director of Payroll to maintain system integrity, audit readiness, and ongoing client support.
  • Establish and monitor quality control protocols and error resolution processes.
  • Maintain up-to-date knowledge of payroll legislation and ensure systems/processes reflect required changes.

Client Relationships & Customer Service

  • Serve as an executive point of contact for escalations and strategic accounts.
  • Champion a customer-first culture that balances service excellence with operational integrity.
  • Collaborate with client-facing teams to understand evolving needs and tailor service offerings accordingly.
  • Leverage client feedback to refine processes, tools, and service offerings.

Sales Collaboration & Partnership

  • Partner closely with Sales leadership to align client expectations with operational realities.
  • Develop and enforce standardized Sales-to-Implementation handoff protocols.
  • Guide Managers/Team Leads to participate in pre-sales strategy discussions and client meetings to assess service complexity and timeline planning.
  • Create feedback loops between Sales, Implementation, and Payroll teams to drive continuous improvement.
  • Collaborate on post-implementation success metrics and contribute to account growth strategies.

Team Leadership & Development

  • Mentor and support direct reports, developing high-performing leadership teams in each department or in each team.
  • Promote a culture of accountability, continuous learning, collaboration, innovation, and excellence.
  • Identify and address organizational gaps, optimize team structures, and ensure succession planning and talent development for future leadership growth.

Documentation & Reporting

  • Oversee development and adherence to SOPs, knowledge management systems, process documentation, and training materials.
  • Implement and enhance internal reporting for service metrics, SLAs, client onboarding milestones, payroll accuracy, and compliance checks.
  • Provide regular reporting to executive leadership on department performance and strategic initiatives.
  • Design and deliver operational dashboards and performance reports for executive leadership.
  • Ensure all documentation meets legal, compliance, and audit standards.

What You Bring:

Education & Experience

  • Bachelor’s degree in Business, Human Resources, Accounting, or related field; MBA preferred.
  • 5+ years of experience in senior leadership roles within PEO, payroll services, HR technology, or client implementation.
  • Proven ability to partner cross-functionally, especially with Sales, Product, and Client Success teams.
  • Strong understanding of federal and state payroll compliance and PEO operations.
  • Experience with client-facing implementations and enterprise payroll operations at scale.

Skills & Competencies

  • Required skills and responsibilities for business process improvement and automation include analyzing processes, designing enhancements, creating optimized workflows, aligning personnel skills effectively, and applying technology and tools to improve the processes. These competencies are necessary for increasing efficiency and effectiveness within our implementation and payroll services.
  • Executive presence with strong communication, negotiation, and cross-functional communication and leadership abilities.
  • Strategic thinker with the ability to manage both high-level direction and operational details.
  • Client-focused mindset with an operational lens and process improvement orientation.
  • Strong interpersonal skills and a collaborative leadership style.
  • Metrics-driven with a solid grasp of KPIs, service-level tracking, and business analytics.
  • Knowledge of leading PEO/HRIS platforms (e.g., PrismHR, ADP, Workday, BambooHR, isolved) a plus.
